Events that you remember for years to come. We have all experienced those special moments in life. Every time you think about that special day, your heart cannot help it but smile.
How do we as event managers can actually create magical events? Do we need to have the most extravagant venue? Do we need a high budget? Do we need an awesome entertainment? In fact, delivering magical events can be more simple than that.
Like with all things magic -it’s all about the experience and feelings. Emotions play a huge role in how we as humans understand the world around us. Senses we possess (smell, sight, hearing, touch, taste) help us in exploring the environment around us. Only if we truly understand how magical the human brain is, only then we can deliver really magical events.
Think about it…you surely remember that spectacular rock concert with fireworks, or the over the top wedding your aunt has thrown on her super expensive boat last summer???But are any of these rooted deeply in your memory? I do not think so. The most magical events are the ones that mean something to you…Maybe it was the first ever U2 concert , you were able to attend for the very first time without the adult supervision? Your best friend’s wedding in that small local hotel, where you met the love of your life? These special moments you were able to cherish with your best friends and family…the locations and things that meant something to you. This is the pure magic.
As event managers (and the ones like we- who help them), we need to understand this notion and always keep it in mind when planning any sort of events. Corporate event, sales event, networking event…let me ask you this question…Who will be attending your event? Robots? No, your event will be attended by people. Human beings, full of emotions, expectations, hopes and dreams. Your job as an event manager, is to anticipate those dreams and turn them into reality. This is exactly how your can create magical events.

- The power of good Music
The age group will help you determine one of the most important tools…the music choice. Music can sooth any soul. My mother and her friends would love to hear some great 70s music at their work event, they can go back in time and dance until sun comes out. How come .So many great event planners underestimate the importance of music, booking the hottest DJ in town…nope. Magical events require music that means something to people.
2. The light and mood
Have you ever attended event where the light hurts your eyes? What an absolutely awful experience. It’s too strong and you cannot see anything, or the lights are too dark and again…you cannot see anything. The light sets the mood- but choose wisely. Candle light-always adds that extra something. With summer events- real fire outside looks spectacular. You do not need to spend fortune here. To create magical events , add small LED lights to the space…lights always top any other event decoration. If your budget is tight…invest in lights and candles– always be carful and make sure you follow all safety procedures
3. The welcoming event staff
I am not going to lie to you…I attended and helped to organise the most fantastic and magical events all over the world. (Fashion, business, sales events- big budgets and stunning locations). However, often 1 thing let them down- the staff that did not care. I often felt like nobody really cared, I didn’t feel welcomed while attending those events. (When i organised them , I made sure everybody felt special). Do not allow this to happen at your events. Make sure you properly welcome each and ever guest, make sure everybody knows where the food is, where the toilets are and what is happening. There is nothing worse than a group of people starving, lost in the middle of a fantastic hotel banquet hall. Watching other quests eating the fantastic grilled prawns and wondering “Where did he get it, I want some right now”. Also make sure you have visible staff members -visible meaning they are all wearing the same outfit that stands out (red t-shirts, white ties- the choice and creativity is yours).
To create truly magical events you need to make people feel magical-or at least welcomed and of the same importance.
To some people magical events would require a beautiful venue, expensive budget or the latest tv star..however to create a truly magical experience all you need to do is make people feel something- and it better be a positive reaction.
